The Role
Westwood Public Schools seeks candidates of diverse backgrounds and experiences for the position of Part-Time Assistant Athletic Director for the 2025-2026 school year. Our ideal candidate is organized, flexible, passionate about the student-athlete experience, and excited to work in a fast-paced environment. The Assistant AD works closely with the Athletic Director and the Athletic Trainer to provide the leadership to support a safe and healthy 6-12 Athletic program. The Assistant AD provides site supervision and support; manages season-by-season student registration, fees, and eligibility; schedules transportation and officiating; oversees equipment and uniform inventories; supports end-of-season team recognition; communicates regularly with stakeholders at all levels throughout the district; and performs other essential tasks. The Assistant AD reports directly to the Athletic Director. This is a 11-month position (August - June) and includes evenings, weekends, and work during summer and school vacation weeks. This stipended role is the equivalent of approximately 15 hours/week and is paid on a bi-monthly basis.

Qualifications

  • Bachelor's degree required
  • Coaching experience strongly preferred
  • Athletic administration experience preferred
  • CPR certification required

Roles and Responsibilities

  • Culture: supports the AD and principals in providing a community-wide athletic culture in which students strive for excellence—not perfection; develop decision-making and problem-solving skills; and build confidence and character by sharing ownership of their team, engaging in leadership activities, and contributing to the community
  • Registration: manages all tasks related to registration for athletes in grades 6–12 for all three athletic seasons, such as athletic collection, database entry, promotion and publicity, website management, and timely communications with coaches, families, athletes, and community partners
  • Event Planning and Coverage: plans and implements regular and special athletic events, including event set-up and take-down. Provides administrative coverage, including night, weekend, and school vacation week contests and activities
  • Digital Communication:  collaborates with the AD, local and regional media, and social media outlets to support a positive, inclusive, and up-to-date social media presence for the department. Maintains the Athletics Website, including coach lists, schedules, season start-dates and registration deadlines, online registration and payment links, event scheduling, team rosters, and athletic alumni records.
  • Policy, Procedures, and Compliance: maintains the Athletic Department Handbook in collaboration with the AD, Trainer, Health Office, and school-based leadership teams. Ensures departmental compliance with all WPS policies, the TMS and WHS Student Handbooks, MIAA rules and regulations, and Massachusetts General Laws. Executes other MIAA requirements, including committing game schedules, submitting tournament entry forms, and ensuring adherence to all relevant MIAA and league rules and deadlines.
  • Reporting: Creates the Athletic Department Annual Report, summarizing data such as transportation usage, event totals, student participation rates, fee collection breakdowns, and registration compliance. Generates additional reports including the Title IX compliance report and the Civil Rights Survey. 
  • Staff Support: participates in the recruitment, hiring, development, support, and evaluation of the athletics coaching staff.
  • Assumes other leadership responsibilities as assigned by the building principals and Athletic Director.

Job Environment

Work takes place in classrooms and other building rooms/areas, including offices, auditorium, gym, lunchroom, and hallways, within a school building setting, primarily indoors. The job takes place in a high-performing school district with high expectations.

 

Physical Requirements

  • Requires sufficient vision to read printed documents and to view detail on a computer screen for extended periods.
  • Requires frequent standing, walking, sitting, bending, and reaching, as well as carrying and occasionally lifting up to 30 lbs.
  • Ability to speak in an understandable voice with sufficient volume to be heard in normal conversation, on the telephone, and in the classroom.
  • Ability to hear sounds clearly up to twenty feet.
  • Travel among buildings may be required.
